Why car finance payouts get stuck, and how brokers get paid faster

The deal is approved, the customer has the car, and the money still hasn’t landed. Here’s why car finance payouts stall, and what the fastest brokers do differently.

There’s a particular kind of frustration that every car finance broker knows. The customer was approved days ago. They’ve driven away. The dealer is asking when they’ll be paid. And the deal is still sitting with the lender, waiting for something.

Payout delays rarely come from one big problem. They come from small, avoidable gaps that only become visible when the lender points them out. Fix the gaps and the delays mostly disappear.

The usual suspects

1. The paperwork doesn’t match

The single biggest cause. A VIN on the invoice that doesn’t match the DOW. A registration typed with one character wrong. A sale price that differs from the proposal. A deposit that isn’t shown the same way on every document. Each mismatch means the pack goes back, gets corrected and goes round again.

2. Something’s missing

The V5, a proof of address, the signed agreement, the dealer’s bank details, a settlement letter for the part exchange. Lenders have different requirements, and when the team works from memory, something gets forgotten.

3. The dealer is slow

The dealer has their own priorities. Getting an invoice or a DOW back from them can take days of chasing, especially when requests arrive by email and get buried.

4. Nobody owns the deal after approval

Once a deal is approved, it often falls between people. The adviser has moved on to the next customer and the payouts team doesn’t know it exists yet.

5. Problems are discovered late

If outstanding finance on the vehicle, a mismatch in the customer’s ID or an issue with the dealer is only spotted at the lender’s final check, the delay is already baked in.

What the fastest brokers do differently

They request everything at the moment the customer proceeds

Not after approval, not when the lender asks. The moment a customer says yes, the full list of documents for that lender goes out: to the customer, and to the dealer.

They check documents on arrival

An invoice is compared against the deal as soon as it’s uploaded. A V5 is matched to the vehicle. Vehicle history checks look for outstanding finance, write-offs and stolen or scrapped markers before the pack is sent, not after.

They use a payout checklist, and won’t skip it

A written checklist per lender (or per deal type) that must be complete before a deal is marked ready to pay. If something’s not ticked, it’s visible, and it’s clear who’s waiting on whom.

They make it easy for dealers

A secure link where the dealer can upload the invoice and sign the DOW, without creating an account or digging out a login, gets a far quicker response than another email.

They watch the queue, not just the deal

A daily view of every approved-but-unpaid deal, sorted by how long it’s been waiting and what’s blocking it, turns payouts from a surprise into a routine.

A simple payout checklist to start with

  • Signed finance agreement
  • Customer ID and proof of address, verified
  • Dealer invoice, matching the deal (price, deposit, VIN, registration)
  • DOW signed, matching the invoice
  • V5 or proof of keeper, matching the vehicle
  • Vehicle history check clear, or exceptions explained
  • Part exchange settlement figures, if relevant
  • Dealer bank details verified
  • Commission disclosure signed by the customer

Adjust it per lender. The point isn’t the exact list, it’s that the list exists and the system enforces it.

Why it matters beyond cash flow

Slow payouts strain dealer relationships (dealers remember who pays quickly), tie up your team in chasing and make your own reporting unreliable. A deal isn’t really done until it’s paid, and commission you can’t forecast is commission you can’t plan around.

How DealStack handles payouts

In DealStack, everything a lender needs is requested the moment the customer proceeds. Dealers sign and upload through their own secure link. Documents and vehicle checks verify themselves where they can, and the payout checklist you set stops a deal being marked ready to pay until it’s complete. You can see what’s blocking every payout at a glance, and commission and profit are tracked on every deal.
