How to choose a CRM for your car finance brokerage: 12 questions to ask
Most CRM demos look the same. These twelve questions show you quickly whether a system will run your car finance deals or just store them.
Every CRM demo looks good for the first fifteen minutes. The contact screen is tidy, the pipeline has nice colours, and the dashboard has a chart going up and to the right. The questions that matter for a car finance brokerage come later, and they’re easy to forget to ask.
Here are twelve to take into any demo, including ours.
Leads
1. Can every lead source send leads in automatically?
Your website forms, finance calculators, comparison sites, partners and introducers should all land in the same place without anyone copying and pasting. Ask whether each source can have its own connection, and what happens to a lead that’s rejected (is it logged with a reason, or lost?).
2. What happens when the same customer applies twice?
Duplicates are constant in car finance. A good system spots them on arrival and applies your rule: link them, keep the original agent, alert someone or close the repeat. A poor one leaves two agents calling the same person.
3. How are leads assigned, and is it fair?
Round robin, fewest open applications, only people who are online, a set person for a set source: you should be able to choose. Ask how the system stops the best leads going to whoever refreshes the screen fastest.
Applications and lenders
4. Is the application built for motor finance?
Joint applicants, three years of address and employment history, affordability, part exchange, HP and PCP quotes, add-ons like GAP and warranty, and business applicants. If you’re adding these as custom fields, it isn’t built for you.
5. Can it send to lenders, or just record that you did?
Ask which lenders it can send proposals to by API, whether decisions come back automatically, and how it handles the lenders it isn’t connected to. Rekeying the same application into five portals is one of the biggest hidden costs in a brokerage. We wrote about it in how to stop rekeying applications.
6. Does it help you choose the right lender?
Matching a deal against your lender criteria and rate cards before you send saves declines, credit footprints and time.
Dealers and documents
7. How do dealers take part?
Dealers rarely want another login. Ask whether they can sign, upload and agree handovers through a secure link, and whether a dealer account is optional rather than required.
8. Does it check documents, or just store them?
A DOW with the wrong VIN, an invoice that doesn’t match the deal or a V5 for a different car should be caught before the lender sees it. Ask what the system checks automatically, including vehicle history (outstanding finance, write-offs, stolen and scrapped markers).
9. Can you set what each lender needs?
Different lenders want different documents in a different order. Process templates per lender stop your team relying on memory.
Payouts, compliance and reporting
10. Can you see what’s blocking every payout?
Ask to see a deal that’s approved but not paid out. The system should show exactly what’s missing, and stop it being marked ready to pay until it’s done. More on this in why car finance payouts get stuck.
11. What happens when a complaint comes in?
The FCA’s DISP rules give you eight weeks for a final response and specific steps along the way. Ask whether complaints are tracked against those deadlines, with letters, root causes and the half-yearly complaints return built in. And ask whether every change to a deal is recorded, field by field, so you can show what happened. See the DISP deadlines every broker needs to know.
12. Can you answer money questions without a spreadsheet?
Which lenders, agents and lead sources make you money? What did each deal earn after clawbacks? If the answer involves exporting to Excel, keep looking.
Two questions to ask yourself
Will my team actually use it? The best system is the one that makes the next task obvious, so people work in it rather than around it.
Will it still fit in two years? Teams, sub-accounts, access by role and audit trails matter more as you grow. Moving systems twice is painful.
Where DealStack fits
We built DealStack to answer yes to all twelve. It’s a car finance CRM for UK brokers and dealerships that runs every deal from first enquiry to funded: lead handling, lender sending and decisions, dealer management, documents and checks, payouts and complaints, on one platform.
